And since I rarely write anything down, that list can become a jumble of to dos that are all out of order. From invitations to decorations, food to activities and games, it can be hard to keep everything organized. And to remember to do it before the big party day.
Party planners and professional party hosts work hard to tell you it’s easy. I think I’ve even tried to tell you it’s easy over the year.
But to be a successful party planner, you need organization. And that’s exactly why having a simple, go-to birthday party planning checklist can make all the difference in pulling off a successful celebration.
I promise that once you’ve put together one or two parties, you will get the knack for birthday party planning down. And start to execute them flawlessly.
Just remember that celebrating together is important work. Most importantly, it should be exciting and fun.

To make things easier, I have designed this adorable little birthday party planning checklist. Basically, its a cheat sheet with all of your must dos listed before party day. That way you know exactly what you need to do and when before guests arrive.
It’s designed to guide you from the early party planning stages all the way through to birthday party morning. And even a little beyond with the after party tasks. This way you can focus less on the party logistics and more on making memories with your guests.
This birthday party checklist measures 8.5″ x 11″ and is designed to be printed on regular copy paper. If you want a more durable option, use a heavy white cardstock. I organized this birthday party checklist like a timeline. It features things to get done by weeks, days, the morning of and even after your birthday party. This way you know the exact tasks to focus on and when. I promise it will help you become less overwhelmed during the party planning process.
Here is the list of party prep tasks that need to get done and when you should complete them.
3 – 4 Weeks Before
- Choose the party date and time.
- Set the budget for the party. This helps you figure out how many people to invite.
- Create the guest list.

2 Weeks Before
